1. KEY PURPOSE OF THE JOB
To undertake a range of tasks in relation to the efficient and effective operation of the finance functions in the division in accordance with agreed procedures and guidelines.
To work as part of the Finance team, providing a service throughout the division.
2. PRINCIPAL ACCOUNTABILITIES
To assist the Senior Finance Officer in the day to day operation of financial tasks and maintenance of financial systems.
Raising purchase orders and inputting goods receipt notes using the corporate financial system (SAP), with particular regard to the maintenance of appropriate procedures and financial best practice.
Processing payments on SAP and Care Finance in accordance with the Councils financial strategy and in compliance with the statutory deadline.
Raising and issuing debtor invoices on SAP/Care Finance for the recovery of costs
Preparing and processing authorised journal entries for the correction of miscoded transactions as instructed.
To deposit payments for banking to the Councils Cashiers and reconcile receipts on SAP.
Investigating queries and actioning credits on the councils financial system
Processing authorised journal entries on SAP.
Logging invoices and chasing authorisation.
To assist with all routine aspects of the finance function, including researching information and preparing statistical data
To deal with written, telephone, electronic and personal queries from creditors and debtors, in connection with payments and the recovery of costs.
To escalate findings and undertake corrective action, where necessary, under the guidance and supervision of the Senior Finance Officer .
To assist with financial input into special programmes e.g. pilot and one-off projects and cross-cutting or divisional initiatives as required.
To operate in accordance with the divisional Scheme of Delegation, Finance Best Practice, the Annual Business Plan and Southwark Councils vision & core values
To assist in checking compliance with the Councils overall finance framework.
To actively contribute to changes required under the supervision and guidance of the Senior Finance Officer.
To participate in service wide initiatives as required, including financial training of officers and occasional mentoring of junior and temporary staff.
To assist in monitoring and controlling adherence to anti-fraud strategies within the business unit, in order to protect the Councils assets
To undertake such other duties commensurate with the level and duties of the post as may be required.
